  • Discord User Information: When you use the Bot, we access basic Discord user information provided by the Discord API, such as your Discord username, user ID, avatar, and discriminator. We do not store this information long-term unless necessary for specific features (e.g., user-specific settings).
  • Server Information: We access information about the Discord servers (guilds) where the Bot is added, including server ID, server name, channel IDs, role IDs, and server settings (like verification level). This information is necessary for the Bot to function within the server.
  • Command Usage Data: We collect data on which commands are used, when they are used, and by which user ID and server ID. This helps us understand usage patterns, improve the Bot, and diagnose issues. We do not log the specific content of command parameters unless required for debugging a specific error, and such logs are temporary.
  • Message Data for Logging and Tickets: The Bot itself does not store general message content independently. However, if a server administrator configures a logging channel using the Bot's features, messages (including edits and deletions) may be sent to and stored within that designated channel on Discord. Similarly, if the ticket system is used, message content within a ticket may be stored temporarily to create and provide ticket transcripts upon request. The storage and retention of data within Discord channels (logging, tickets) are subject to Discord's policies and the server administrator's configuration and control.
  • Configuration Data: We store server-specific configurations set up by administrators, such as welcome messages, logging channel IDs, server lock settings, backup details (excluding message content), and template information.
  • Backup Data: When you create a backup using the Bot, we store information about the server's structure, including channel names and settings, role names and permissions, and server settings. We do not store message content in backups. Backups are stored temporarily (typically 7 days) and are associated with the user ID that created them and the server ID they belong to.

2. How We Use Your Information

We use the collected information for the following purposes:

  • To Provide and Maintain Services: To operate the Bot's features like server locking, backups, cloning, templates, logging, and ticket management.
  • To Improve and Optimize: To analyze command usage, identify popular features, diagnose errors, and improve the Bot's performance and user experience.
  • To Ensure Security: To monitor for misuse, troubleshoot issues, and protect the integrity of our Services.
  • To Communicate: We may use associated user IDs or server information to provide support or communicate important updates about the Bot (primarily through our support server or Discord announcements).

3. Data Sharing and Disclosure

We are committed to not selling your personal data. We do not share your information with third parties except in the following limited circumstances:

  • With Discord: Interaction data is inherently processed through the Discord API as part of the Bot's operation, subject to Discord's Privacy Policy.
  • Service Providers: We may use third-party hosting providers (e.g., for servers and databases) to store the data necessary for the Bot's operation. These providers are chosen for their security practices, but we remain responsible for data protection.
  • Legal Requirements: We may disclose your information if required by law, subpoena, or other legal process, or if we have a good faith belief that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.

4. Data Security

We implement reasonable technical and administrative security measures to protect the information we store from unauthorized access, disclosure, alteration, or destruction. This includes secure hosting environments and access controls. However, please be aware that no method of transmission over the internet or electronic storage is 100% secure.

5. Data Retention

  • Configuration Data: Retained as long as the Bot is in the server or until the configuration is changed/removed by an administrator.
  • Command Usage Logs: Typically retained for a limited period (e.g., 30-90 days) for analysis and debugging, then aggregated or deleted.
  • Backup Data: Stored for a limited time (currently 7 days) after creation and then automatically deleted.
  • Message Logs & Ticket Transcripts: As stated in Section 1, message logs sent to a designated logging channel are stored within that Discord channel according to Discord's policies and the server owner's settings. Temporary data for ticket transcripts is deleted after the transcript is generated or the ticket is closed. Retention within Discord channels is managed by server administrators.

You can request the deletion of your specific user data or server configuration data associated with the Bot by contacting us via our support server.

6. Your Rights

Depending on your location, you may have certain rights regarding your personal information:

  • Access: You can request access to the configuration data or other personal information we hold about you.
  • Correction: You can request correction of inaccurate data.
  • Deletion: You can request the deletion of your configuration data or command logs associated with your user ID. Note that removing the Bot from your server will stop further data collection for that server.
  • Opt-out of Logging: To opt-out of message logging features, you must contact the administrator(s) of the specific Discord server, as they control the Bot's configuration and the storage channel within Discord for that server. Server Maker does not control user inclusion/exclusion from server-configured logging.

7. Children's Privacy

Our Services are not directed to individuals under the age of 13 (or the relevant minimum age in your jurisdiction). We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take steps to delete such information.

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons.
